5 Tips for Planning a Business Conference & Luncheon

Planning a business conference and luncheon comes with a lot of moving parts and it is important to keep them all in check. Whether it is a one day conference or a full weekend with entertainment and dining options, we have 5 tips on how to plan the perfect business conference and luncheon.

Entertainment is Key: Yes, you have to keep it professional. But, they also need to have a little fun and mental break from their day to day job. Great evening entertainment options consist of going to a play, concert, piano bar, or a comedy club, etc. This will give the attendees something to look forward to after their long day of speeches and presentations.

Timing of Activities: Another important factor in planning a business conference and luncheon is timing all activities correctly. Going too long in one activity will cause attendees to lose interest and not gain positive information from the conference. Planning frequent refreshment and snack breaks will help keep up the positive energy and momentum throughout the day or weekend.

Choosing the Right Location: Location is one of the most important factors in planning these conferences. You need to choose a location where the attendees can easily walk from place to place. For example, a large hotel in a popular area of the city. Having it all in one general area for most of the conference will give them some change of scenery, while also keeping them all in one place so they won’t be tempted to ditch the event.

Know Your Client: Always keep in mind the type of business you are planning for. If you are working with a client in the health industry, keep that in mind while planning activity and food options.

Figure Out the Theme: Having some kind of unifying theme or idea is important. A theme helps unify ideas, while getting the appropriate entertainment/ speakers, and selling to the correct audience. The company’s mission statement will also inspire a theme to then help you stay on track with your target audience.
